Privacy Policy

This Privacy Policy explains how Shaxx Digital Ltd. ("Shaxx Digital", "we", "us", or "our"), based in Abbotsford, British Columbia, Canada, collects, uses, discloses, retains, and protects personal information when you visit shaxx.ca (the "Site"), contact us, or work with us.

Our privacy practices are intended to follow British Columbia's Personal Information Protection Act (PIPA) and, where applicable, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). The law that applies can depend on the nature and location of the activity.

1. Information we collect

We collect information you choose to give us when you contact us by email or phone, request information, approve a proposal, or become a client. This may include:

  • Your name
  • Email address
  • Phone number
  • Business name
  • Project requirements, messages, approvals, and account details you provide
  • Billing and transaction records, although payment card details are generally handled by the payment provider

Our hosting provider may create standard server logs, such as IP address, request time, requested page, browser information, and security events. We use this information to deliver, secure, troubleshoot, and maintain the Site.

If you accept optional analytics, Google Analytics may process device and browser information, approximate location, referring information, pages visited, interactions with contact paths, and a first-party identifier used to distinguish visits and sessions. We do not load Google Analytics when you decline.

2. How we use your information

We use the information you provide to:

  • Respond to your enquiry and provide the information you requested;
  • Prepare proposals, provide services, and manage the client relationship;
  • Operate, secure, troubleshoot, and improve our Site and business systems;
  • Process billing, maintain records, and meet legal or regulatory obligations;
  • Send marketing only where we have consent or another lawful basis to do so.

We do not sell, rent, or trade your personal information.

3. Consent

We identify the purpose for collecting personal information at or before collection and seek meaningful consent where required. Contacting us allows us to respond to that enquiry. It does not automatically subscribe you to unrelated marketing. You may withdraw consent, subject to reasonable notice and legal or contractual restrictions.

4. Marketing communications (CASL)

If we send commercial electronic messages, we rely on express consent, a valid form of implied consent, or another permitted basis under Canada's Anti-Spam Legislation (CASL). Messages identify the sender and include a working unsubscribe method. We process unsubscribe requests without delay and no later than 10 business days.

5. Cookies and optional analytics

The Site uses a consent choice to control optional Google Analytics. We use analytics, when accepted, to understand aggregate page use and whether visitors use contact, booking, email, phone, and pricing links. Advertising storage and personalization are disabled in the Site configuration. You may accept or decline analytics and later change your choice through “Cookie choices” in the footer. 6. Service providers & sharing

We may disclose personal information to service providers that support hosting, email, phone, scheduling, project management, storage, accounting, payments, security, and the services you ask us to deliver. We limit disclosure to what is reasonably needed for that purpose and remain responsible for information under our control.

Some providers may process information outside Canada. Information in another jurisdiction may be accessible to courts, law enforcement, or national security authorities under that jurisdiction's laws. You can contact our Privacy Officer for more information about service-provider practices relevant to your information.

We may also disclose information where required by law, to enforce our agreements, or to protect the rights, safety, and property of Shaxx Digital, our clients, or others.

7. Data retention

We use retention schedules based on the reason information was collected, the client relationship, contractual commitments, dispute needs, security requirements, and legal record-keeping obligations. When information is no longer reasonably needed, we delete, anonymize, or securely destroy it.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect your personal information. The Site is served over HTTPS. No method of transmission or storage is 100% secure, but we work to protect your information using appropriate measures.

9. Your rights

Subject to applicable law and limited exceptions, you may:

  • Access the personal information we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Withdraw your consent to our use of your information;
  • Ask how your information has been used or disclosed;
  • Raise a concern or challenge our privacy practices.

To make a request, contact the Privacy Officer below and provide enough information for us to verify your identity and locate the relevant records. We respond within the period required by applicable law.

10. Privacy incidents

We maintain a process to assess and respond to suspected privacy incidents. Where applicable law requires it, we will notify the appropriate privacy regulator and affected individuals. We also maintain breach records where required.

11. Third-party links and platforms

The Site may link to third-party websites. We are not responsible for the privacy practices of those sites; we encourage you to review their policies.

12. Children's privacy

The Site is intended for business owners and is not directed at children. We do not knowingly collect personal information from children.

13. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent version. Material changes will be posted on this page.
